PRACTICAL JOB COSTING

Auto detailing estimate checklist

By Detailing Costbook · October 26, 2026 · Worked examples, not market-rate advice

Before quoting a detailing job, check the vehicle’s condition and ask which services the customer wants. List the work you are agreeing to do and its price.

1. Check the vehicle and ask what the customer needs

Confirm vehicle size, current condition, and the services requested. Discuss heavy soil, pet hair, odors, delicate surfaces, and existing damage where relevant. Avoid promising a result you have not inspected or cannot deliver.

2. List what is and isn’t included

“Full detail” can mean different things to different people. Name the included services, limits, and work outside the estimate. Record stains, scratches and existing damage. Explain which results you can reasonably achieve.

3. Confirm access and working time

For a mobile appointment, check parking, safe access, and any power or water requirements. Include setup, travel, handover, and cleanup in your time plan.

4. Agree on the price and how extra work is handled

State the estimated service price and confirm applicable tax before sharing the total. If inspection reveals work not listed in the original estimate, explain the additional work, price and time, then get approval before starting the extra work.

5. Keep a record of the result

After completion, record actual hours and expenses. Compare them with the plan so your next estimate can use what you learned.
